Bismillah Establishment (BEST) International USA, Inc. d/b/a CrewLocator (“CrewLocator” or “we“) operates a digital marketplace that connects corporate aircraft operators (“Operators“) with professional pilots and flight crew members (“Pilots“). This Privacy Policy describes how we collect, use, share and protect personal data when you use our website, mobile applications or any other service we provide (collectively, the “CrewLocator Platform”).

CrewLocator is committed to protecting your personal information and complying with applicable data‑protection laws, including the General Data Protection Regulation (GDPR). Please read this notice carefully to understand what information we collect, why we collect it, and your rights.

1. Scope

This Privacy Policy applies to anyone who accesses or uses the CrewLocator Platform anywhere in the world. It explains:

  • What types of personal data we collect and the legal bases for processing;
  • How we use your personal data;
  • When and why we share personal data with third parties;
  • How we protect, store and retain personal data;
  • Your rights and how to contact us about your data.
  • Location data accessed or collected by the app (see Section 5).

2. Personal Data We Collect

2.1 Information you provide directly

When you register or use the CrewLocator Platform you may provide us with personal data such as:

  • Registration details – name, email address, phone number, preferred home base or airport, professional qualifications (e.g., licence type) and business information if you act on behalf of an Operator.
  • Profile information – credentials, ratings, travel preferences, languages and other information you choose to include in your profile.
  • Communications – messages, emails or other correspondence you send through the Platform.
  • Payment information – billing address and payment methods where applicable (we do not collect or store full payment card numbers; payments may be processed by third‑party processors).
  • Special categories of data – we generally do not request sensitive personal data such as racial or ethnic origin, political opinions, health or biometric data. If an Operator requests information such as passport details, secure flight data or other regulatory data, we will ask you to provide it only where legally necessary and with your explicit consent.

2.2 Information we collect automatically

When you visit our website or use the mobile app, we automatically collect certain information such as:

  • Log and usage data – IP address, browser type, device identifiers, operating system, access dates/times and pages viewed. We use this to operate, secure and improve the Platform.
  • Cookies and tracking technologies – cookies and similar technologies help us remember your preferences, keep you signed in, analyse site traffic and provide relevant content and advertising. You can control cookies through your browser settings. See our separate Cookie Policy for details.
  • Analytics – we use analytics providers to collect aggregated statistics about how visitors use our site. These providers may set their own cookies or similar technologies; however, they only provide us with aggregated or pseudonymised data.

2.3 Information we obtain from third parties

We may receive personal data about you from other sources such as:

  • Other users of the CrewLocator Platform (e.g., an Operator may provide details about a crew member for a flight request);
  • Service providers who help us verify licences, backgrounds or identities; and
  • Publicly available databases and partner organisations.

2.4 Location dta (mobile app)


When you use the CrewLocator mobile app, we may access or collect your device’s location data (approximate and/or precise, and in some cases when the app is in the background) if you grant permission. This is used only for location-based trip matching and notifications about opportunities near you. Providing location is optional; you can use the app without it. Full details, including which permissions we request and how you can control them, are in Section 5 (Location Data & Permissions).

3. How We Use Your Personal Data

We process your personal data only where we have a lawful basis to do so. Depending on how you use the Platform, we may use your information to:

  • Provide and manage the services – including creating and managing accounts, matching Pilots and Operators, facilitating communications and carrying out bookings.
  • Operate and improve our Platform – monitor usage, troubleshoot, analyse trends and develop new features.
  • Personalise your experience – tailor content and communications to your interests and send you service‑related notifications.
  • Send marketing communications – with your consent, we may send you news, offers or surveys relating to CrewLocator or carefully selected partners. You can opt out at any time.
  • Comply with legal obligations – such as record‑keeping, tax or aviation regulations. We may also process data to detect and prevent fraud, misuse or security incidents.

4. Sharing Personal Data

We only share personal data where necessary and in accordance with this Privacy Policy:

  • With other Users – Operators and Pilots may receive basic profile information and communications needed to arrange and perform services. Users are bound by our Terms and must respect each other’s privacy and confidentiality.
  • With service providers – trusted vendors help us provide IT infrastructure, customer support, identity verification, payment processing, analytics and marketing services. These providers may access personal data only to perform services on our behalf and must not use it for their own purposes.
  • For legal and safety reasons – we may disclose personal data if required by law, regulation or court order, or to protect the rights, property or safety of CrewLocator, our users or others.
  • Business transfers – if CrewLocator is involved in a merger, acquisition or sale of assets, personal data may be transferred as part of that transaction. We will notify users of any such change and your choices.

We do not sell your personal data to third parties for marketing purposes.

5. Location Data & Permissions

Location Information

CrewLocator may request access to your device’s location information to provide location-based trip matching and timely notifications about contract flying opportunities near you.

5.1 Permissions We Request

CrewLocator may request the following Android permissions:

  • ACCESS_COARSE_LOCATION (Approximate location)

  • ACCESS_FINE_LOCATION (Precise location)

  • ACCESS_BACKGROUND_LOCATION (Location access when the app is not actively open)

Location access is requested only to enable location-based trip discovery and notifications.

5.2 Why We Access Location

We use location information to:

  • Display trips under “Trips Specific to Users Location”

  • Filter available contract opportunities near your location

  • Send notifications when relevant trips are posted in your area

  • Improve trip matching and user experience

Location data is used solely for operational purposes related to trip discovery and crew matching.

We do not use location data for advertising, profiling, or marketing purposes.

5.3 Background Location Access

If you grant “Allow all the time” permission, CrewLocator may access your location periodically while the app is in the background to:

  • Check for new nearby trip opportunities

  • Send timely notifications about relevant trips

CrewLocator does not continuously track your real-time movement.

Background location access is optional and can be disabled at any time in your device settings.

5.4 When Location Is Accessed

Location may be accessed:

  • When the app is open and actively in use (foreground access)

  • Periodically in the background (only if the user grants background permission)

We access only the minimum location data necessary to provide location-based features.

5.5 Optional Nature of Location Sharing

Providing location access is optional.

If you:

  • Deny location permission, or

  • Revoke location access later,

You can still use the core functionality of the app, including viewing and applying for trips. However:

  • You may not see location-specific trips

  • You may not receive nearby trip notifications

5.6 Storage and Retention

  • We may temporarily store your last known location to improve trip matching.

  • Location data is retained only for as long as necessary to provide app functionality.

  • We do not store continuous location history.

  • Users may request deletion of their data at any time.

5.7 Sharing of Location Data

We do not:

  • Sell location data

  • Share location data with advertisers

  • Publicly display user location

Location data may be processed internally by CrewLocator administrators solely for trip matching and operational purposes.

If third-party service providers are used to support app functionality (such as hosting or cloud services), such providers are contractually obligated to protect user data.

5.8 User Control

You may:

  • Enable or disable location permissions at any time in your device settings

  • Choose between “Allow only while using the app” or “Allow all the time”

  • Revoke permissions completely

Revoking permission will not delete your account or prevent general use of the app.


6. International Transfers

Some of our service providers are located outside the European Economic Area or the United States. Where personal data is transferred internationally, we ensure it is protected by using appropriate safeguards such as European Commission approved standard contractual clauses.

7. Data Security and Retention

We implement technical and organisational measures to protect personal data from unauthorised access, loss or alteration. Access is limited to personnel who need the data to perform their duties. We retain personal data only as long as necessary for the purposes set out in this Policy and to comply with legal obligations. When data is no longer required, it will be securely deleted or anonymised.

Under the GDPR, CCPA and other applicable laws you may have certain rights regarding your personal data, including:

  • Right of access – you may request a copy of the personal data we hold about you.
  • Right to rectification – you may ask us to correct or update inaccurate or incomplete information.

The CrewLocator Platform is not intended for use by anyone under the age of 18, and we do not knowingly collect personal data from children. If we learn that a minor has provided us with personal data, we will delete it.

We may update this Privacy Policy from time to time to reflect changes in our services or legal obligations. We will post the updated Policy on our website and indicate the effective date. Significant changes may be communicated via email or app notifications.
